Fingerprinting & Background Checks
We protect fingerprint, identification and background check information through secure collection, restricted access, authorized disclosure and responsible record destruction. Eastern Fingerprint Services understands that fingerprinting and background screening involve highly sensitive personal information. We collect only the information reasonably required to provide the service requested, verify identity, obtain necessary consent, process the application and securely deliver the results. Information may include your name, date of birth, contact information, government-issued identification details, fingerprints, consent forms and information required by the RCMP or an authorized background screening provider. Access to this information is limited to authorized personnel who require it to perform their duties. Fingerprint records, identification documents and background check information are not used for unrelated purposes, marketing or employee training. Sensitive documents should be submitted through our secure upload system whenever possible. We do not recommend sending identification, fingerprint records or background check results through regular email. Your information may be securely transmitted to the RCMP, police services, accredited fingerprinting systems or authorized screening providers when necessary to complete the service. Information will not be disclosed to an employer, organization or other third party unless you have authorized the disclosure or it is required or permitted by law. Fingerprint images and biometric information are handled only in accordance with applicable RCMP requirements, service-provider procedures and privacy obligations. They are not retained longer than necessary or copied for unrelated purposes. Background check results are released only to the person or organization authorized to receive them. Employers booking services for multiple workers do not automatically receive individual results unless each person has provided appropriate consent. Personal information and documents are retained only for as long as reasonably necessary to complete the service, meet legal or contractual obligations, address concerns and maintain required business records. Records that are no longer required are securely deleted or destroyed. Clients may contact our Privacy Officer to ask how their information is handled, request access or correction, or raise a privacy concern.
Commissioner of Oaths
We protect the personal information and documents provided for Commissioner of Oaths services through secure handling, restricted access and responsible deletion. Eastern Fingerprint Services collects personal information and documents only as necessary to review, schedule and provide Commissioner of Oaths services, verify identity, process payment and return completed documents. Documents submitted for commissioning may contain sensitive personal, financial, legal, immigration, medical or family information. Access is limited to the Commissioner and authorized personnel who require the information to provide the requested service. Government-issued photo identification is normally visually inspected to confirm identity. Copies of identification are not ordinarily retained unless required for a specific lawful or operational purpose. Virtual appointments are not ordinarily recorded, and screenshots are not taken. Clients must confirm that they are physically located in Nova Scotia and must sign the document while observed by the Commissioner. Documents should be submitted and returned using secure electronic methods whenever possible. Personal information and completed documents are retained only for as long as reasonably necessary to provide the service, meet legal or business obligations, or address a concern. Records that are no longer required are securely deleted or destroyed. Client information and documents are not sold, used for marketing or disclosed to another person or organization without consent, unless disclosure is required or permitted by law.
Virtual Appointments
We protect your privacy during virtual Commissioner of Oaths appointments by limiting information collection, avoiding unnecessary recording, and using secure document-handling methods. Eastern Fingerprint Services collects only the personal information and documents reasonably required to review, schedule and complete your virtual Commissioner of Oaths appointment. During the video appointment, you will be asked to show valid government-issued photo identification and confirm that you are physically located in Nova Scotia. Identification is normally viewed only for verification and is not copied or retained unless there is a specific lawful or operational reason. Virtual appointments are not ordinarily recorded, and screenshots are not taken. The appointment should be conducted in a private setting, and clients may be asked to confirm whether anyone else is present. Clients must sign their document while being observed by the Commissioner. Unsigned and signed documents should be submitted through the secure upload system whenever possible, and completed documents are returned through a secure electronic method. Access to appointment information and uploaded documents is limited to the Commissioner and authorized personnel who require access to provide the service. Personal information and documents are retained only for as long as reasonably necessary to complete the appointment, meet legal or business obligations, or address a concern. Records that are no longer required are securely deleted or destroyed. Client information is not sold, used for unrelated marketing, or disclosed to another person or organization without consent unless required or permitted by law.
Payments
We protect payment information by using secure payment-processing services and limiting the financial information accessible to Eastern Fingerprint Services. Eastern Fingerprint Services collects payment-related information only as necessary to process fees, issue receipts, manage refunds, maintain accounting records and respond to payment questions. Online card payments are processed through an authorized third-party payment provider. Eastern Fingerprint Services does not ordinarily receive or store complete credit card numbers, card security codes or online banking credentials. The payment provider may collect information such as the cardholder’s name, billing details, transaction amount and payment-card information in accordance with its own privacy and security practices. Eastern Fingerprint Services may retain limited transaction information, including: Client name Service purchased Amount paid Date of payment Transaction or receipt number Payment status Refund information, where applicable Access to payment and transaction records is limited to authorized personnel who require the information for payment processing, bookkeeping, customer service or legal and tax obligations. Clients should not send credit card numbers, card security codes or banking passwords through regular email, website messages or document-upload forms. Payment information is not sold or used for unrelated marketing. Transaction records are retained only for as long as required for accounting, tax, legal, contractual and legitimate business purposes, after which they are securely deleted or destroyed.
